AI Agents as Team Members

In BFF, AI agents aren’t sidebar chatbots — they’re first-class team members with their own profiles, schedules, task assignments, and controlled documents. They appear alongside your human employees, but always with a human accountable for them.

Note: AI agents are a gated feature — the ai_agents feature must be enabled for your company. If you don’t see AI Agents in the sidebar’s Team group, contact your BFF partner or administrator.

Creating an AI Agent

  1. Navigate to AI Agents (Team group in the sidebar)
  2. Click Add AI Agent
  3. Fill in the form:

Weekly Hours CapacityHow many hours per week the agent can be scheduled
Agent InstructionsFree-text standing directives, e.g. “Always respond in Spanish”, “Escalate if confidence < 80%“
Responsible Person (required)The human accountable for this agent’s actions and acknowledgements
Enable Document WriteOpt-in that lets the agent draft document changes; a human must approve before publishing
  1. Click Create & Generate Credentials
  2. Copy the generated API Key and Secret — the secret won’t be shown again

The Responsible Person

Every agent must have a responsible human — a real user in your company. This person:

  • Receives the agent’s notices and escalations, prefixed “[On behalf of {agent name}]”
  • Signs Required Reading acknowledgements on the agent’s behalf (see Assigning and Tracking Required Reading)
  • Becomes the Owner of any document the agent drafts

Enable Document Write

Off by default. When enabled, the agent can draft and propose Policies, SOPs, Work Instructions, and Training — but agents never publish; a human reviews and approves every proposal. See AI Agents as Document Authors for the full authoring flow.

Where Agents Appear

  • Team list — with an AI badge indicator
  • Schedule view — with their own time blocks
  • Task assignments — in the assignee list
  • Agent Activity — fleet-wide execution logs (company admins only)

Tip: Choose a responsible person who actually works with the agent’s output. They carry the review load for drafts, acknowledgements, and escalations — accountability only works if they’re paying attention.
