Color Coding Tasks

Every task in BFF can be assigned a color for visual organization. Colors appear on:

  • The task list view
  • Time blocks on the schedule
  • Calendar views
  • Workflow pipeline nodes

Setting a Task Color

  1. Open the task (create new or edit existing)
  2. Find the Color field
  3. Click to open the color picker
  4. Choose your preferred color
  5. Save the task

Color Coding Best Practices

Establish a consistent color system across your team:

  • 🔵 Blue — Administrative tasks
  • 🟢 Green — Client-facing work
  • 🟡 Yellow — Internal communication
  • 🔴 Red — Urgent / escalations
  • 🟣 Purple — Creative or strategic tasks

Tip: Consistency is key. When your whole team uses the same color system, schedule views become instantly scannable.

Duration Tracking

Every task has an estimated duration in minutes. This is used for:

  • Schedule planning — time blocks use the duration to set block length
  • Workload visibility — see how much time is allocated
  • Coverage planning — during time-off, understand the time commitment of each task

Setting Duration

  1. Open the task
  2. Enter the estimated Duration (in minutes)
  3. Save

Duration Tips

  • Be realistic — pad estimates by 10-15% for interruptions
  • Review and adjust durations periodically based on actual time spent
  • For AI agent tasks, duration represents the expected execution time
